Administrative Assistant – Student Position


Under the direction of the Resource Opportunities Centre, the Admin Assistant will: 

  •  Perform general office duties; filing, record keeping, updating databases and contact lists, answering phone, customer service etc.
  • Assist with grant/funding research and applications.
  • Provide assistance to the general public & management staff.
  • Support the operations of the Prospect Communities Farmers Market, including updating web content & inventory.
  • Perform computerized program registration(s) and/or membership processing
  • Reconcile and balance sales and registration with financial systems; basic bookkeeping functions.
  • Maintain confidentiality as the norm
  • Control access to program and equipment rooms, as needed.
  • Facilitate business services (file, photocopy, fax and scan) for both the public and organization. Produce print materials as required.
  • Monitor office supply levels (i.e. forms, copies of documents, etc)
  • Liaise with ROC staff regarding program registration and support community initiatives as required
  • Participate in training and planning sessions as required
  • Employ standard health practices
  • Other administrative duties, as needed

Requirements for Hire: 

  • First Aid, CPR or willingness to obtain
  • Applicants must be entering full-time post secondary studies in the Fall of 2024 or continuing full-time post secondary studies in the 2024-25 school year (requirement as per funding agreement)
  • Experience working in an administrative role
  • Must be legally entitled to work in Canada, must have resided in Nova Scotia at least six months prior to start of employment.
  • Successful screening through Child Abuse Registry & Criminal Record Check.
  • Note: proof of all of the above will be required.

Skills & Competencies:

  • Experience working with the public (all ages)
  • Excellent communication, organization and interpersonal skills
  • Highly motivated, personable & well organized
  • Demonstrated experience with computer technology and internet applications (Google Suite)
  • Demonstrated ability to work independently and as a team member
  • Drivers license, access to a vehicle or reliable transportation as the PRCC is not located on a public transit route.

Salary & Hours:

The starting wage for this position is $15.50/hr. This is a 35 hour/week position. Majority of work will be completed Monday to Friday between the hours of 9am – 5pm, however, some evening and weekend work may be required.

Contract Duration:

14 weeks – May 27, 2024 to August 20, 2024
